1. Application & Acceptance
Submitting an application does not automatically guarantee a vendor space. Southern Charm Events 4 U reserves the right to review applications before acceptance.
2. Payment & Reservations
Your vendor space is not officially reserved until your application has been accepted and all required registration fees have been paid.
3. Vendor Fees
Vendor and food truck fees are non-refundable unless Southern Charm Events 4 U cancels the event, except when otherwise agreed to in writing.
4. 5% Community Donation
All participating vendors agree to donate5% of their gross event salesto the designated cause associated with the event. This donation is separate from all registration fees.
5. Approved Products
Vendors may only sell or promote products and services listed on their approved application. Please receive approval before adding significantly different products.
6. Setup
Vendors must arrive during their assigned setup period and be completely set up before the event opens to the public.
7. Early Departure
Vendors are expected to remain set up for theentire advertised event. Early departure is permitted only with approval from Southern Charm Events 4 U or in an emergency.
8. Vendor Equipment
Vendors are responsible for providing their own tents, tables, chairs, displays, lighting, extension cords, signage, and other equipment unless otherwise stated.
9. Tent Safety
Outdoor tents and canopies must be properly secured with appropriate weights. Unsafe tents, displays, or equipment may be required to be removed.
10. Electricity
Electricity is available only when requested and approved in advance. An additional$20 electricity feeapplies.
11. Cleanliness
Vendors must maintain a clean booth throughout the event and completely clean their space before leaving. Vendors who leave trash or debris will be assessed a$35 clean-up fee.
12. Food Vendors & Food Trucks
Food vendors and food trucks are responsible for obtaining all required permits, licenses, inspections, insurance, food-safety documentation, and other approvals required by applicable authorities.
13. Taxes & Business Requirements
Each vendor is responsible for their own taxes, business licenses, permits, insurance, and other requirements applicable to their business.
14. Professional Conduct
Vendors must behave respectfully and professionally toward guests, organizers, volunteers, venue staff, and other vendors. Harassment, threats, fighting, discrimination, or disruptive behavior may result in removal from the event.
15. Family-Friendly Environment
Products, merchandise, displays, signage, music, and vendor conduct must be appropriate for the nature of the event and venue.
16. No Unauthorized Space Sharing
Vendor spaces may not be transferred, resold, or shared with another business without prior approval from Southern Charm Events 4 U.
17. Weather
Outdoor events may be affected by weather. Vendors are responsible for preparing their booths and equipment for appropriate outdoor conditions. Event-specific weather procedures will be communicated when necessary.
18. Damage & Property
Vendors are responsible for damage caused by themselves, their employees, helpers, equipment, or operations to the venue, grounds, or other property.
19. Personal Property
Vendors are responsible for protecting their own money, merchandise, equipment, vehicles, and personal belongings. Trailers and food trucks are to have some with them at all times. They are not to be left alone if this is the case you will be asked to leave SCE4U is not responsable for anyones property. (No going to the batheroom does not count lol)
20. Photography & Promotion
By participating, vendors give Southern Charm Events 4 U permission to photograph or record their booth or display during the event and use those images or recordings for reasonable event and business promotional purposes.
21. Organizer Authority
Southern Charm Events 4 U reserves the right to enforce event rules and require the removal of unsafe, inappropriate, unauthorized, or disruptive products, displays, equipment, or conduct.
